Dialer Numbers Billing: Workspace Admin Guide

This guide covers everything you need to manage Dialer Number billing within your workspace — including how charges work, how to control member access, and what to do when payments fail.

What Are Dialer Numbers?

Dialer Numbers are phone numbers your workspace uses to make and receive calls through the Dialer. Each number has two pricing components:

  • Installation Fee — a one-time charge at the time of purchase.

  • Monthly (or Yearly) Fee — a recurring fee charged on each billing date.

Both are charged upfront when a number is purchased. From the next billing date onward, only the recurring fee applies.

Managing Member Access

By default, Workspace Members cannot purchase or renew Dialer Numbers. You decide who gets those rights.

Granting and Revoking Purchase Rights

You can grant or remove a member's purchase rights from Workspace Settings > Members. All users in the workspace can see which members currently have purchase rights.

Note: Members with purchase rights cannot delete Dialer Numbers.Only Workspace Admins and above can delete numbers.

How Billing Works

Billing Dates

Each Dialer Number has its own billing date, set to the date it was purchased. If you buy numbers on different dates, they will have different billing dates and be tracked as separate subscriptions in Billing > Add-ons > Dialer numbers.

Billing Cycle

The billing cycle for your Dialer Numbers always matches your main subscription:

  • Monthly subscription: numbers renew monthly.

  • Annual subscription: numbers renew annually.

What is Charged at Purchase

When buying a number, you are charged:

  • Installation Fee — one-time, processed as a Stripe/credits one-time payment.

  • First period's recurring fee — processed as a Stripe/credits recurring subscription.

You will see both line items during checkout. From the next billing date onward, only the recurring fee is charged.

Note: All Dialer Number charges are non-refundable.

Buying Numbers

Numbers are added to your workspace only after payment is successfully charged.

If payment fails, you can:

  • Remove some numbers from the order (if you selected more than one)

  • Retry the payment

  • Switch to a different saved payment method (if paying in USD)

  • Close the order without completing the purchase

Payment Method Behavior (USD)

The full order is charged to a single payment method — you cannot split an order across multiple cards.

  • At purchase: the system tries your default payment method first, then falls back to other saved methods in the order they were added.

  • At renewal: the same fallback logic applies.

Manage your payment methods through the Stripe Customer Portal.

When Renewal Fails

If renewal fails across all payment methods:

  • You and all members with purchase rights receive an email.

  • Both outgoing and incoming calls are disabled for all Dialer Numbers.

If numbers remain unpaid for the full 28 days, they are permanently deleted.

Successful payment lifts all restrictions automatically.

Retrying Payment

You can manually trigger a retry at any time from the billing page. Clicking the retry button opens the payment window, where you can confirm or change the payment method. Once payment goes through, all restrictions are lifted.

Viewing Billing Information

In Billing > Add-ons > Dialer Numbers, you can see all active Dialer Number subscriptions. For each subscription, there is a Manage button that opens a detailed view showing:

  • The specific numbers included in that subscription

  • The total subscription amount

  • The next payment date

Deleting Numbers

You can delete Dialer Numbers at any time from the number management page or from within a subscription's Manage view.

When a number is deleted, the next billing amount is reduced to reflect the remaining numbers. There is no prorated refund for the current cycle. When the last number in a subscription is deleted, the subscription quantity in Stripe is set to zero but the subscription record is not deleted.

Switching Billing Methods

Switching from Credits to Money

When your workspace switches from Credits to Money billing, existing numbers are enrolled in Stripe subscriptions without an Installation Fee. Prices in the UI update to USD, and the next charge is processed through Stripe.

Switching from Money to Credits

When your workspace switches to Credits billing, prices in the UI update to credit amounts.

Renewal Confirmation Emails

When Dialer Numbers renew successfully, you and all members with purchase rights receive a confirmation email containing the workspace name, renewal price, and renewal date.

Workspace Deletion

If your workspace is deleted, no further renewal attempts or refunds are processed. Dialer Numbers are removed from the workspace 7 calendar days after deletion.
