How can I reduce prospect overlap with associates outside the platform?

If multiple associates from your organization are running outreach campaigns, you may want to avoid contacting the same prospects or companies.
The system can automatically help prevent overlap between users within the same workspace. However, it cannot see the profiles or activity of associates who are not using the platform, so it cannot automatically identify or block prospects they may already be working with.
While there’s no way to guarantee complete overlap prevention with users outside your workspace, you can combine a few approaches to significantly reduce the risk.
Use workspace-level deduplication
Enable “Deduplicating new profiles within a workspace” in your workspace settings. This prevents the same prospect from being added to campaigns by different accounts within the workspace.
This is especially useful when several associates are running campaigns at the same time.
Add company exclusions
If your organization has a list of existing clients, protected accounts, or companies that should never be contacted, you can add them to your blacklist.
Company-level exclusions are often easier to manage than keeping track of individual prospects, especially when multiple associates may have relationships with people at the same organization.
Review prospects before outreach
You can also do a quick manual check after prospects are added to a campaign but before outreach begins. If you recognize an existing relationship or a prospect who is already being contacted by an associate outside of the platform you can remove them from the campaign.
Recommended approach
For the best coverage, we recommend combining these methods: enable workspace-level deduplication, add known or protected companies to your blacklist, and do a final manual review of prospects before launching a campaign.
